The Clinic Services Manager is responsible for overall operations of the SAFE Care Spay & Neuter office.
Reporting to the Medical Director, this position maintains complete and accurate records of clinic patients, maintains the daily schedule of surgery and rechecks, and trains and supervises Clinic administrative volunteers.
Essential Job Functions/Core Duties:
Participates in check in/out of patients and balances cash drawer.
Ensures complete and accurate records exist for all patients, including rabies certificates, go-home paperwork, and medical records.
Manages booking schedule through software and ensures proper number of animals are booked daily.
Develops a plan for reducing no shows.
Ensures proper pricing for items set up and proper subsidies and grants in software.
Oversees online booking to ensure that system is set up and working properly.
Replies to any emails regarding booking.
Deals with client complaints and concerns in a professional manner.
Follows up with Medical Director on any post op complications and keeps information on file regarding them.
Maintains accounts receivables for all owner and volume clients.
Monthly billing and keeping track of vouchers.
Answers clinic phones, returns messages, forwards messages to appropriate staff in a timely manner.
Inventories and orders office supplies.
Rabies tags.
Creates monthly reports on declined surgeries, no-shows, and A/R.
Generates volume partner agreements and maintains data of volume partner activity.
Manages bulk scheduling for volume partners via email/phone.
Revises and uploads the electronic consent forms into the clinic management system.
Trains and supervises Clinic volunteers and/or Clinic medical staff (when working in the office area).
Creates reports for direct mail campaigns as requested.
